BOOKING AND RESERVATION POLICY
Guest(s) making a booking must be over 18 years of age.
A 50% deposit of the total accommodation charge is payable within 48 hours of booking and the guest authorises Riverhead Villa to charge the remaining 50% to the credit card nominated by the guest at or around 14 days prior to the date of arrival.
For bookings made less than 14 days prior to arrival, full payment is required at the time of booking.
We accept payment by Visa, MasterCard or Direct Credit.  Riverhead Villa has the right to request a form of ID when the booking name does not match the credit card.
Dishonoured payments of balances not received 7 days before the start of the let will result in the booking being cancelled and the deposit forfeited.
All prices stated here are in New Zealand dollars (NZD) and include a 15% Goods and Services Tax (GST).


DISABILITY ACCESS & AGE RESTRICTION
Riverhead Villa is currently unsuitable for wheelchair users and children under 14 years of age.  Guests with mobility challenges or those travelling with children are specifically advised to discuss concerns or requirements with our reservation department.


BOOKING CONFIRMATION
Instant bookings made directly through the ‘Riverhead Villa’ website, will be issued with an automated confirmation notice but may still be subject to change. Booking inquiries will be replied to within 24 hours during week days and within 48 hours during weekends. No room(s) shall be considered booked until Riverhead Villa has confirmed the booking in writing. Acceptance will be at the sole discretion of Riverhead Villa.


SECURITY DEPOSIT
If required, the guest authorises ‘Riverhead Villa’ to process the stated security deposit amount on his/her credit card, and to use these funds for costs incurred for damage, breakage or excessive cleaning. This fee is fully refundable within 48 hours of departure if no damage to the property is recorded and further cleaning is not required.


TRAVEL INSURANCE
Because unexpected events can impact your travel plans, we recommend that you protect your holiday investment by purchasing travel insurance.


CHECK IN & CHECK OUT
Check in is from 2pm.
Checkout is 10 am unless otherwise stated.
Following check-in, notify us promptly if anything seems amiss at the Villa. Please also ensure you review the guest compendium provided as it contains important property details, operating instructions and emergency procedures. Please DO NOT operate electronic devices until you have reviewed the associated instructions. Improper operation may impair performance or reception and result in a chargeable service call.


KEY COLLECTION
Please make contact 48 hours before arrival with your travel plans to organise key collection.  Unless otherwise arranged, guests will be welcomed by our Villa Manager on arrival and a room / house key will be issued to the guest.
A call out due to lost keys or lockout will attract a non-negotiable minimum fee of $80 + GST to be deducted from the renter’s security deposit or credit card.


OCCUPANCY
I/We agree that if I/We break the following conditions of this agreement, Riverhead Villa may evict without notice or refund.
I/We agree that at no time during occupancy shall more than the number of persons stated, stay overnight at the premises, without prior consent of the Riverhead Villa, whereupon extra charges may be required.  Exceeding this number may invalidate any insurance policy on the property.
I/We shall not disturb the quiet and enjoyment of neighbours or any other condition imposed herein.
I/We agree that our visitors will leave the premises by 10.00 pm.
I/We acknowledge that additional persons may only be accommodated with Riverhead Villa’s permission and the booking rate may vary as a result.
I/We agree that no caravans, tents or other accommodation will be placed at the property without written permission from Riverhead Villa
I/We agree to not sublet the property nor use it otherwise than for the agreed intended purpose.
Under the Terms & Conditions, the property is strictly not available for parties, weddings, commercial activities including photo shoots or functions of any kind unless prior arrangements have been made. Permission is at the sole discretion of Riverhead Villa and a surcharge will apply.
Riverhead Villa reserve the right to revoke or refuse to honour any accommodation booking, at any time before or during the rental period, which may in their opinion (and at their sole discretion) be unsuitable for the property.

PETS
Animals are not permitted on the property, unless pre-approval has been given by Riverhead Villa.


GUEST’S OBLIGATIONS
The guest shall be responsible for the property during the guest’s stay. This responsibility includes: taking reasonable care of the property; reporting any damages during the guest’s stay and leaving the property at the end of stay with all utensils, fixtures, fittings and equipment on, in or about the property in a clean and tidy condition. The guest must not remove anything from the property and all furniture should remain in the place in which it was found on arrival.
The guest shall be liable for any unreasonable breakages or damage caused to the property or any part thereof, or any chattels therein, that may occur during the guest’s stay.
The guest is responsible for making sure that there is no use of illegal substances or conduct of illegal activities at the property and/or any activities that could invalidate the insurance policy, as they are strictly prohibited.  The guest understands that there is no self-catering or BYO alcohol.
Guests must please be aware that water is precious at Riverhead Villa and be careful with water usage. Excessive water usage may result in a penalty charge to refill the water tank.
Guests must be aware that septic systems are used at Riverhead Villa and only items that have passed naturally through the body, and toilet paper may be placed in the toilets. Any items that can cause damage to the septic system, including sanitary items, must be disposed if in the bins provided. Charges for repairs caused by the incorrect disposal of items may be on-charged to the guests if required.


HOUSEKEEPING
Rooms must be left in a reasonable condition on check-out.
Should it be necessary to clean carpets, remove stains, repaint, repair finishes, or replace furnishings, textiles, BBQ or home wares, OR remove excess rubbish, a charge will apply.  Excess cleaning costs will be charged either by way of your security deposit, or, to the credit card used to pay for your accommodation.


LINEN
Where linen is provided by Riverhead Villa, this includes bed sheets, pillow cases, face cloths, bath towels, bath mats and hand towels.  Extra linen can be available at an extra cost.

LOST PROPERTY
Any lost property retrieved will be mailed on to the contact address we have on file and a fee for postage and packaging will be charged to the guest credit card.  Riverhead Villa will make every effort to reunite property left on site with its rightful owner.


SMOKING IN THE PROPERTY
There is no smoking permitted inside the Villa or outside on the veranda.  There will be alternative areas available on the property for smokers to use for smoking.


CALL-OUT CHARGES
In the event that guest(s) set off security alarms – or damages or misuses appliances or electronics – the guest will be responsible for call-out fees.


LIABILITIES
We do not accept any responsibility or liability for acts of omission of third parties that may prevent or disrupt a guest’s booking. The information and descriptions supplied here are believed to be accurate and offered in good faith. Certain features or facilities may not be available from time to time due to circumstances beyond our control for which we accept no liability, but all compensatory measures will be taken. In addition, no liability can be accepted by us for any injury, loss or damage to the guest, any member of the guest’s party or any visitor to the property, arising out of or in connection with the use of the property.
In the event that the renter uses extra facilities at the accommodation including, but not limited to, kayaks, dinghies and bicycles, such use is entirely at the renter’s own risk at all times and Riverhead Villa accepts no liability for any injury or loss to the renter.


FORCE MAJEURE
No liability can be accepted by us where the contract is affected by ‘force majeure’. In the context of these terms and conditions, ‘force majeure’ is any event that we could not, even with due care, foresee or avoid. These events include but are not limited to natural disaster, adverse weather, fire, acts of God, technical problems with transportation, threat of war, war, riot, civil commotion or strife, hostilities, industrial dispute, terrorist activity, nuclear disaster, government action, pandemics or other events outside our control.
If by any means of any event of ‘force majeure’ that prevents Riverhead Villa performing our obligations, then such delay or non-performance shall not be deemed breach or entitle a legal claim. We are therefore not responsible for the non-availability or the early termination of the agreement for any matter or reason which is beyond our control.


AGREEMENT
The Guest agrees that by making a booking, they indicate to accept the booking terms and conditions as set out in this document.


CANCELLATION POLICY
At least 30 days “due notice” must be given by the guest to cancel a booking in writing (email: info@riverheadvilla.nz). Dates and conditions cannot be altered without due notice and are subject to Riverhead Villa’s approval and availability.
Cancellations that occur more than 2 weeks prior to the arrival date are fully refundable.
Cancellations that occur less than 2 weeks prior to the arrival date are 50% refundable.
No refunds will be given for cancellations within 3 days of the arrival date.
If you are unable to make your date, we recommend rebooking as soon as possible.


CANCELLATIONS & CHANGES FROM RIVERHEAD VILLA
I/we acknowledge that Riverhead Villa may cancel the booking at their discretion at any time, should this situation arise all monies paid will be either used as a credit for a future booking of the same value or be fully refunded to the guest.
No further compensation will be offered.
